PARTY FAQ’S (FREQUENTLY ASKED QUESTIONS)

We have 5 party times available:

  • 9.30 – 11am
  • 11.30am – 1pm
  • 1.30 – 3pm
  • 3.30 – 5.00pm
  • 4.30 – 6pm (Private Hire)
  • First, you book your party online on this website, your child and guests must be 8 years old or under.
  • We will contact you a couple of days before your party to iron out any number, extras, or food changes or additions.
  • On the day, two people can come in 10 minutes early to set up your party. Decorations can be added, but not the kind that requires sticking to anything.
  • Guests arrive at the session start time and book into reception where they will be shown to the party room.
  • Food is served immediately after everyone is in and settled.
  • A tab can be kept at the cafe should you wish to provide the adults and guests with other food and drink during the session. Guests are more than welcome to use the cafe themselves.
  • After food, everyone can go to the main hall to jump around.
  • The cake ceremony can happen at any time, but we do ask that all festivities are finished in good time before the 90 mins are up.
  • This will allow you and your friends to gather everything up and leave on time to allow us time to clear down and prepare the room.
  • We ask that everything brought to the party be taken home afterwards. This includes all decorations and present wrapping and packaging. Bin bags can be supplied, just ask.

  • Our two party rooms are alternated during the day so you don’t get a choice.
  • Private Hire parties are always in Party Room 1 which is by the main entrance.
  • There is a maximum of 25 party guests including the lucky birthday (or celebration) child.
  • This means that up to 25 party guests (a party guest is a child from 0 to 8 years old.) can be seated and fed.
  • Private Parties are limited to 20 children and 20 adults
  • The minimum number of adults attending a party is 2 (although please try and bring more because Playtrain cannot supervise children).
  • By making the booking you’ll pay for the children party guests. We allow 5 adults free with the booking, and up to 15 further adults can attend and be paid for on the day.
  • We are limited by numbers, so if any of your parents need to bring party guest siblings then they should book separately via the booking site, using ‘Book A Play Session’.
  • If adults turn up with siblings and have not book in beforehand, we cannot guarantee that there will be space to accomodate them.
  • When you book you pay for the minimum number of party guests; either 7 (weekday parties) or 10 (weekends).
  • Yes, if guests do not turn up on the day there are no refunds for this.
  • If you want to change your order please email info@playtrain.biz
  • We always contact you a couple of days before the party to discuss any changes or additions to people or food.

  • We understand that people do get ill and there is nothing you can do about it.
  • However, we cannot refund you if people do not turn up to your party.
  • No, the capacity at the moment for a session is 60 on weekdays, and 50 at weekends. This doesn’t include the people that attend your party.. so there will be others in the main hall.
  • If you wish to guarantee no other people, then you would need to book a ‘Private Hire’ party that gives you around 55 minutes of the hall to yourselves.

  • Fruit platter 2 (typically half a pineapple, filled with grapes)
  • Veg platter (Typically carrot sticks, cucumber sticks with either cheese or humus)

The food choice you make while booking is included in the price.

Yes, the food is always served at the start.

Be aware that staff may start clearing the party room during your play session, normally after an hour.

  • I’m afraid you cannot bring your own food apart from the celebration cake.
  • However, the cafe is open for orders, and you are free to add food to your order prior to your party.
  • Any extra children, adults, or food ordered on the day can be paid for by card at reception before you leave.
  • Yes, no problem.
  • Plates and cutlery will be provided.
  • For obvious reasons, please do not bring a knife as we will supply one.
  • You may light candles in the party rooms only.
  • The party room is decorated as a party room (see pics on the website at the top of this page)
  • Each child gets a party hat
  • We do not provide other decorations
  • You can bring your own but there are provisos:
    1. No party poppers of any description
    2. No untethered helium balloons
    3. Balloons must stay in the party room
    4. Decorations must not be stuck to the walls or any part of the room
    5. All decorations (and present wrappings / envelopes / cards etc) must be removed at the end of the party – we can supply a black bin bag which should be taken home with you.
  • Yes, no problem!
    The party host is responsible for this being paid at the end of the session.

You can still have a ‘Floor Party’. This is done by making multiple standard bookings and, put simply, we push the tables together for you as long as we have been told prior to the session. You may bring a cake (we can supply a knife) but we ask that this is not eaten at Playtrain, but taken home in supplied napkins. Naked flames are not allowed on the main floor so no lit candles please.

No other provision will be made, and you will not have access to a party room. Please be aware, in the interests of our other customers and our staff, that one adult must take charge of the group and all party paraphernalia (cake, wrapping paper etc) must be removed and taken home. We can supply a black bag.

There’s no guarantee Playtrain will or won’t be busy, but the 9:30am session usually fills up quicker than most. And when it rains we are always busy!

Our website can now tell you how many spaces there are left for booking in a session.

Please be aware that if our booking system is displaying only one space left, this means the session is full (minimum booking is for two people).

During the week there will be some spaces in the car park, advise your guest to come and park 10 minutes early.
There is also a council pay and display on the road outside Playtrain.
At weekends Cressex is mostly closed so there is parking opposite Playtrain.

PARTY T&C’s (TERMS AND CONDITIONS)

  • We cannot cancel party bookings and we do not offer refunds, either in part or full*
  • We will allow a party to be moved only once.
  • If you need to move the date or time of your party, you must inform Playtrain at least 96 HOURS IN ADVANCE* of the party by emailing us at info@playtrain.biz
  • We can only react to your request within office hours. 96 hours will be calculated from the time we are able to address your request, i.e. between the hours of 9.30am and 5pm.
  • If you contact us with less than the agreed time above, we may still be able to postpone your party but only if we have time to cancel your party and sell the party to another host. If your tickets do not sell then I’m afraid the booking and payment will be lost.
  • Once you have notified us and we have agreed to a re-booking, a party re-booking is valid for 8 weeks from the date of the original postponed party.

    *If Playtrain is forced to close at the time of your party, then you can re-book or receive a refund in full.

  • Final payments should be made before your party starts (Playtrain will contact you 3 days prior to your party to sort out numbers and extras).
  • The party host needs to provide reception with a completed party guest list on arrival, this will speed up your party entrance and personalise your party.
  • It is the party parents’ responsibility to inform party guests to arrive no more than a few minutes before the party start time.
  • Latecomers will not receive additional time. We cannot restructure the party to accommodate.
  • Parent guests bringing siblings that are not part of the party will need to book in advance online and will be charged at our standard entrance prices.
  • The party parents must ensure that the party room is fully vacated with all belongings at the end of the allocated party time.
  • The party host must ensure all extra requests are paid for.
  • The party parent is responsible for all party children being collected by their parent or guardian at the end of the party time.
  • Final payments should be made before your party starts.
  • You can keep a tab at the cafe, and pay for that before you leave.
  • Please consider, when confirming your final party numbers, we are unable to offer any form of refund once your final payment has been processed.
  • We are happy for you to call us up to 48 hours before your party to increase your numbers within reason and as long as you have not reached your maximum room/area capacity.
  • Playtrain reserves the right to refuse extra party guests if you have reached your maximum capacity for your party area.
  • It is the party parents’ responsibility to inform us if you have special dietary requirements.
  • The party parents and adult guests are responsible for all party children at all times.
  • The party parents should explain the Playtrain “Rules of Play” to the children.
  • The party parents should ensure that all children are dressed appropriately.
  • The party parent must ensure all children wear socks when using the equipment.
  • It is advisable to bring spare socks on the day.
  • No spray foam, poppers, streamers, or piñatas are permitted.
  • No decorations are permitted on the walls of the party room as this can cause damage.
  • No catering can be brought into Playtrain either by the party or parents or friends.
  • Apart from the birthday cake, all food items & beverages must be purchased from the Playtrain Café.
  • Management reserve the right to change the party room allocated at the time of booking without any prior notice.
  • Playtrain reserves the right to close parts of the play frame, and slides and remove equipment from use during our trading hours for any reason, without compensation.
  • We will endeavour to inform you of any non-availability of any equipment or facility prior to a party.
  • If you have any problems during your party, it is important that you speak to the Duty Manager immediately to enable swift resolution.
  • In the unlikely event that the problem cannot be resolved at the time, please email full details of your grievance to info@playtrain.biz where your complaint will be thoroughly investigated following our internal complaints procedure.

FOR THE FIRST 30 MINUTES THE PARTY IS HELD IN THE GRUFFALO ROOM, DURING WHICH TIME FOOD IS SERVED IN THE ROOM. WHEN ALL OTHER CUSTOMERS HAVE LEFT THE MAIN HALL, YOU WILL HAVE PLAYTRAIN ALL TO YOURSELVES FOR ROUGHLY 55 MINS.

  • Up to 20 children ages 0-8 can be invited to the party
  • Up to 20 adults in total can attend
  • 5 adults get free entry, others attending will be charged for
  • Babes in arms 6 months or under are free of charge and do not count towards the final numbers
  • Bluetooth music system
  • The fully laid out party table has a plate with a hat for each child
  • No need to know the full numbers now, you can tell us your final numbers, allergens, and extras when we contact you a couple of days before the party date.

Purchasing this package reserves your party for up to 20 party guests, and 5 free adults. The food choice you make while booking is included in the price. Up to 15 more adults or siblings can be added at a later date and paid for by card on the day, although only the invited party guests may sit and eat.
